Billing

The billing section covers invoices, payments, billing adjustments, recurring billing, and online payment collection. It is where you turn your work into money.

What you can do

  • Create invoices with line items, taxes, and discounts
  • Send invoices to clients via email
  • Record manual payments (cheque, wire, cash)
  • Accept online payments through Stripe (Growth plan and above)
  • Set up recurring invoices for retainer clients
  • Issue billing adjustments against invoices
  • Track payment status and overdue accounts

Where billing lives in the sidebar

Click Billing in the sidebar to expand the billing submenu:

Invoice statuses

StatusMeaning
DraftSaved but not finalised; client has not seen it
UnpaidFinalised and awaiting payment
Partially PaidSome payment received but balance remains
PaidFully paid
OverduePast the due date and not fully paid
CancelledVoided; no payment expected

Separately, CaseFlow tracks whether an invoice has been sent (emailed at least once) as a flag on the invoice record. You can see the sent/not-sent indicator and the last-sent date on the invoice page; it is not a status in itself.

Plans and availability

Basic invoicing, payments, estimates, and proposals are on all plans. Online payments (Stripe), subscriptions, billing adjustments, payment reminders, and multi-currency require the Growth plan or above.
